1. Who we are

The Stanza Effect ("we", "us", "The Stanza Effect") is the data controller for the personal information you provide through this website — thestanzaeffect.com.

This policy covers the information we collect when you make an enquiry, apply to work with us as a designer, or access your project through our customer portal. If you were referred to us by a housebuilder as part of your new-build purchase, a separate joint-controller notice provided by that developer also applies to the data shared through them.

2. What we collect

Depending on how you use the site, we may collect:

We do not use advertising or third-party tracking cookies. The site uses only essential storage in your browser — a preview-access flag and, if you sign in, a secure session token — to make the site work. Nothing is used to profile or track you across other sites.

3. Legal basis for processing

We rely on the following lawful bases under UK GDPR:

Consent — when you submit an enquiry or application form, you consent to us using those details to respond. You can withdraw consent at any time (see section 7).
Contract — where you become a client, to deliver the design service you have requested.
Legitimate interests — to respond to enquiries, assess designer applications, and keep our systems secure, in a way you would reasonably expect.

4. Who we share your data with

We do not sell your data. We share it only where necessary to run the service:

Our designers — the designer assigned to your project, to deliver your design.
Housebuilder partners — only where you came to us through a specific development, to coordinate your service.
Service providers (processors) — our database and authentication provider (Supabase) and our website host, who store and process data on our behalf under appropriate agreements.
Legal — where we are required to by law.

5. How long we keep your data

We keep enquiry and application data for up to 12 months after our last contact, unless you become a client — in which case we keep your project data for the duration of the service plus 12 months for any follow-up. After that, it is securely deleted unless a longer period is required by law.

6. How we protect your data

Your data is transmitted over encrypted connections and stored in systems with appropriate technical and organisational safeguards. Access is limited to the Stanza Effect staff and designers who need it to deliver your service.

7. Your rights

Under UK data protection law you have the right to access your data, correct inaccuracies, request deletion, restrict or object to processing, request portability, and withdraw consent. To exercise any of these, contact us using the details below.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you are unhappy with how we have handled your data.
